Event QR Code Generator – Add Events to Calendar with One Scan
What Is an Event QR Code?
An event QR code encodes calendar event data in the iCal (VCALENDAR) format. When scanned, the user’s phone prompts them to add the event to their calendar app – complete with title, date, time, location and description. No manual entry required.
This standard is supported by every major calendar application: Apple Calendar, Google Calendar, Outlook, Samsung Calendar and others. The event data is transferred directly from the QR code to the calendar, eliminating transcription errors.
Event QR codes are particularly valuable for conferences, webinars, workshops and any invitation where you want to ensure attendees actually remember and show up. A single scan saves the date, time and all relevant details.
The iCal / VCALENDAR Format
Under the hood, an event QR code contains a VCALENDAR text block defined by RFC 5545:
VERSION:2.0
BEGIN:VEVENT
SUMMARY:Team Meeting
DTSTART:20260315T140000Z
DTEND:20260315T150000Z
LOCATION:Room 301
DESCRIPTION:Quarterly review
END:VEVENT
END:VCALENDAR
The key fields you can encode are:
| Field | Property | Description |
|---|---|---|
| Title | SUMMARY | Name of the event |
| Start | DTSTART | Start date and time (UTC or with timezone) |
| End | DTEND | End date and time |
| Location | LOCATION | Venue name or address |
| Description | DESCRIPTION | Additional notes or agenda |
BlueChilliesQR generates the VCALENDAR structure automatically. You fill in the fields, and the generator produces a correctly formatted QR code.
Use Cases for Event QR Codes
- • Conferences & trade shows: Print event QR codes on session schedules, speaker profiles or booth signage so attendees can save talks and workshops to their personal calendar.
- • Webinars & online events: Include a QR code in promotional emails or social media posts. Users scan with their phone and the event appears in their calendar with the join link in the description.
- • Invitations: Add an event QR code to printed or digital invitations – weddings, parties, corporate dinners. Guests save the date, time and venue in one step.
- • Appointment reminders: Medical practices, salons and repair services can print event QR codes on appointment cards so clients add the appointment to their calendar automatically.
- • Classes & workshops: Educational institutions can provide event QR codes for recurring classes, semester schedules or one-time workshops.
Tips for Effective Event QR Codes
-
•
Use UTC or specify the timezone: Calendar apps handle timezone conversion automatically when the time is in UTC. If you use a local time, include the timezone identifier (e.g.
TZID=America/New_York) to avoid confusion for attendees in different regions. - • Keep the description short: Long descriptions produce dense QR codes. Include only essential information – agenda, join links or dress code – and keep it under 200 characters when possible.
- • Include the full address: If the event has a physical location, use the full street address in the LOCATION field. Many calendar apps will automatically generate a map link from the address.
- • Test across platforms: Scan the QR code on both iOS and Android and verify the event details appear correctly in different calendar apps before printing.
- • Add a call to action: Print “Scan to save to calendar” next to the QR code so users immediately understand its purpose.
